The problem

Spreadsheets and Outlook folders. Time-recording done on paper at month-end. No reliable view of WIP, no POPIA register, manual invoicing.

How we approached it

  • Two weeks of discovery with the practice managers
  • Migrated matter data from spreadsheets + email archive
  • Built matter + time + billing + POPIA register on the Veva platform
  • Replaced the printed-time-sheet ritual with a 3-click capture flow

What changed

  • WIP reported daily, not at month-end
  • 5 hours of partner-time per week back

Daily cash & stock visibility across 12 stores.

A multi-branch retailer · Retail — 12 stores, R85m turnover

The problem

Each store ran its own spreadsheet. Head office got Excel attachments by 17h00 if at all. Stock variance untrackable; cash variance discovered at audit time.

How we approached it

  • POS integration via a thin reconciliation service
  • Daily cash + stock submission with mobile capture for staff
  • Variance dashboard for branch managers
  • Read-only feed to the accountant of record

What changed

  • Same-day cash + stock reporting across all 12 stores
  • Variance investigated within 24 hours, not 30 days
  • 0.4% improvement in stock-take accuracy
  • Head-office headcount unchanged; visibility doubled

From paper enrolment to a parent portal in one term.

An independent school · Education — 700 learners

The problem

Paper application forms. Fees collected by EFT with bank statement reconciliation by hand. Parents could not see what they owed without an email.

How we approached it

  • EduHexa rolled out with bespoke admission workflow for the school
  • Imported 7 years of learner records from the old SIS
  • Parent portal with statements, attendance, term reports
  • Fee collection via PayFast + bank EFT, reconciled automatically

  • 92% applications now digital; staff hours on intake halved
  • Fee arrears down 31% in the first year
  • Parents self-serve statements; bursar inbox cleared
